CRM & Internal Tools

The CRM your team
actually uses shaped like your business

Every abandoned CRM died the same death: the tool modelled a vendor's idea of a sales process, so the team kept the real pipeline in a spreadsheet. We map the workflow as it exists — the WhatsApp threads, the Monday spreadsheet rebuild, who chases what — then build the system your team runs in: your stages, your language, your reports.

The business runs on people remembering

Orders arrive on WhatsApp, leads live in one person's phone, the numbers get rebuilt in a spreadsheet every Monday, and the payment terminal data never meets the sales data. Off-the-shelf tools force your process into their shape and still leave three tabs open. Nobody can answer a simple question — what is pending, who owns it, what did we actually sell — without asking someone.

How we work

How we build it

01

Map how the work actually moves

We sit with the people doing the job and write down the real steps, roles, approvals, exceptions and handoffs — including the ones nobody documented.

02

Pick the first slice worth building

The smallest system that removes real manual work and pays for itself, not a two-year platform. You see the sequence and what waits.

03

Connect what you already run

WhatsApp, payment and POS terminals such as Pine Labs, accounting, and whatever else holds your data. We integrate rather than ask your team to re-enter it.

04

Roll out with the team, not at them

We migrate the live data, train the people who use it daily, run both systems in parallel where it matters, and hand over documentation.

01

Workflow & systems discovery

Before building anything we map the real process end to end. The board that comes out of it has your stages and your language — which is the entire reason people keep it updated.

02

Roles, permissions & follow-up rules

Access that matches who actually does what, and reminders so nothing depends on one person's memory.

03

Integrations with the tools you already run

WhatsApp, payment providers, Pine Labs & POS, calendars, accounting — connected to the system instead of copy-pasted into it.

04

The reports your team asks for weekly

Generated instead of assembled. Deployment, handover and documentation included, on a written scope at a fixed price.

What you get

Deliverables

  • Custom CRM or operations system with role-based access
  • Customer or client portal
  • Order, booking, approval or fulfilment workflow
  • Integrations with your existing tools, terminals and channels
  • Reporting and admin views for the numbers you ask for weekly
  • Data migration, team training and written documentation

Outcome

What changes for you

  • The work moves through one system instead of four tabs and a group chat.
  • You can see what is pending, who owns it, and what it is worth, without asking.
  • New steps and rules get added in days, because the workflow was modelled properly.

Questions, answered

Why build custom instead of buying an off-the-shelf CRM?+

Often you should buy. If a standard CRM fits your process, we will tell you that on the first call and help you configure it rather than sell you a build. Custom earns its cost when your workflow is the thing that makes you money and no product models it — field operations, multi-step approvals, unusual pricing, or a mix of channels and devices that has to reconcile.

Can you integrate with our payment terminals and WhatsApp?+

Yes. We have shipped WhatsApp-based systems in production, including a shared team inbox with CRM, tickets and automated replies, and we integrate payment and POS devices such as Pine Labs where the vendor exposes an API or SDK. We confirm what the specific integration actually supports before it goes in a scope — not after.

How long does a business system take?+

There is no universal answer and we will not give you one. Operations work starts with discovery, because the timeline depends on how many roles, exceptions and integrations are involved. You get a written scope with milestones and a fixed price for it before we build. The 21-day timeline on our site applies to a clearly scoped Production MVP only, never to this.

What happens to the data we already have?+

We migrate it. Spreadsheets, exports from your current tools, and whatever lives in someone's inbox get modelled and imported, with a reconciliation pass so you can verify the numbers match before you switch over.

Why custom instead of Salesforce, HubSpot or Zoho?+

If an off-the-shelf CRM fits your process, use it — we will say so on the discovery call. Custom wins when your pipeline does not match a vendor's template: field sales with offline capture, WhatsApp-first communication, POS integration, or approval flows the big tools cannot model without a consultant retainer.

How much does a custom CRM cost?+

A fixed quote after discovery — one written scope, milestones, and one price agreed before we build. If scope changes mid-build, we re-quote before building. No surprise invoices.

How long does it take?+

There is no universal timeline claim for custom systems. Discovery produces a written milestone plan; you see weekly builds you can click from the first week.

Can you migrate our spreadsheet data?+

Yes — migration from spreadsheets and existing tools is part of the scope, including cleanup and deduplication, so the team starts on real data from day one.

Who maintains it after launch?+

Your choice: a documented handover your team can hold, a $2,999/month retainer with 40 hours of development, or a hybrid where we own architecture and your team runs day to day.
