AI for travel and community businesses
Your trip enquiries wait hours. The traveller books with someone else.
We built the platform behind Offline by Happy Hour, 50,000+ users across 20+ cities and a pitch on Shark Tank India Season 5, and the back office that runs it. Now we build the same three things for other travel, events and community businesses: a CRM that models trips and members, an AI agent on every enquiry, and the operations console behind both.
Proof
What we built for Offline by Happy Hour
Offline Ops is the operations system that runs the Offline by Happy Hour business. Bookings, traveller records, CRM and pipeline, itineraries, invoicing, receipts, payments, tax handling and finance reporting sit in one console, so the answer to any question about a trip is in one place rather than five files.
It exists because nothing off the shelf modelled bookings, travellers, itineraries, invoices and international tax as one thing. Buying four tools and reconciling them by hand is what it replaced.
Offline Ops is listed in The Lab with its stack and status, and the Offline by Happy Hour case study is on /work.
Where bookings leak
The same five leaks in every growing travel or community business
Enquiries wait for a call
Instagram, WhatsApp, the website and ads all send enquiries. The first call happens when someone gets to it, and the traveller has already asked two other companies.
The business runs on spreadsheets
Leads in one sheet, departures in another, payments in a third, and one person who knows how they connect. Then that person takes a holiday.
Reminders are done by hand
Balance payments, documents, pre-trip details and event reminders go out one WhatsApp message at a time, usually in the evening.
Every departure is rebuilt from scratch
Rooming lists, vendor bookings and traveller updates live in chats, so each trip is coordinated from memory.
Repeat travellers are invisible
Nobody can say who travelled twice, who came to three events, or who is due another trip, so the cheapest customers to win back are never contacted.
What we build
One system, three parts
A CRM built around trips and members
Every enquiry from every channel in one pipeline, from enquiry to paid to travelled to repeat. Departures, batches and seats are part of the data model, not a spreadsheet beside it.
An AI agent on every enquiry
It calls or messages each new lead within seconds, asks your qualifying questions (dates, budget, group size), books a call with your team and sends payment and pre-trip reminders. It says it is an AI and hands over when it is unsure.
The operations console
Itineraries, invoices and receipts as real documents, traveller updates, vendor details and dashboards for leads, conversion and revenue per trip.
How it runs
From audit to live
Free lead-flow audit
We map where enquiries come from, how long they wait and where they drop. You get the findings in writing whether or not you hire us.
Written scope, fixed price
What we build, what we cut and what it costs, agreed before any code.
Build the CRM and agent
Your real trips, prices and FAQs. A live demo link you can click every few days, not a status call.
Pilot on part of your leads
The agent handles a slice of real enquiries first. We read every transcript with you and fix what it got wrong.
Go live and keep improving
Full handover of the code and accounts, then optional monthly engineering to keep tuning the agent and adding what your team asks for.
A test you can run today
Three questions that tell you if you need this
- Fill in your own enquiry form at 9pm. How long until anyone contacts you?
- Ask your team how many spreadsheets it takes to answer “who is on next Friday’s departure and who still owes money?”
- Count how many past travellers or members you contacted last month about their next trip.
Questions, answered
Do we have to replace the tools we already use?
No. If a tool does its job, we connect to it. We replace the spreadsheets and copy-paste between tools, not the parts that work.
Can the agent use our WhatsApp number?
Yes, through the WhatsApp Business Platform on a number you own. Calls can go out from a number you control too.
Will travellers know they are talking to an AI?
Yes. The agent says so at the start, answers what it can from your trip details and hands over to your team for anything it is not sure about.
Who owns the system?
You do, from day one: the code, the data and every account.
